Choose the questions the system must answer

A pilot starts with representative questions, the sources needed to answer them and examples of acceptable and unacceptable results. This creates an evaluation set before implementation.

The system should be able to show the supporting evidence and recognise when it lacks enough information. Plausible wording alone is not a useful acceptance criterion for a business tool.

A scoped workspace can include

  • Search across selected documents and agreed business data sources.
  • Answers linked to supporting records or document passages.
  • Access boundaries based on the people entitled to see each source.
  • Draft summaries or proposed actions for staff to review.
  • A test set for answer quality, missing evidence and permission boundaries.
  • Operating guidance for updates, feedback and handling uncertain results.

Agree what private means for your deployment

Hosting location, model providers, retention, logging and data access are architecture decisions. We document the proposed arrangement and its limitations for your review before production scope is agreed.

A private interface does not by itself mean all processing is on-premises or that no third-party service is used. Those requirements need to be explicit so the proposed design can be assessed against them.

Keep action permissions separate from answers

Finding a record, proposing a change and executing that change are different capabilities. We scope them separately and define which actions require an authorised person to approve.

For the first discussion, bring a short set of questions, representative documents with sensitive data removed and your access or hosting constraints. We can then assess the data readiness and a bounded pilot.

Starting investment for a defined scope. A pilot covers one workflow and up to two agreed data sources; production can include up to four scoped integrations for one business unit. Deliverables, acceptance criteria and milestone payments are agreed before each phase.

Managed operations from €2,900/month, separately scoped. Additional integrations from €4,500, depending on complexity. VAT, cloud and AI usage, third-party licences, hardware and separately quoted specialist assessments are excluded. Pilot fees are not automatically deducted from later phases.

Before we start.

Does private AI always mean an on-premises model?

No. Private deployment requirements can involve several architectures. Hosting, model providers, data retention and external processing are agreed explicitly during scoping.

Can the system guarantee every answer is correct?

No. We define evaluation criteria, source evidence, uncertainty handling and human review appropriate to the use case. Pilot results determine whether and how rollout should proceed.

Can AI make changes inside our business systems?

Action capabilities require a separate scope with explicit permissions, validation and approval rules. A question-answering pilot does not automatically include autonomous actions.
